POSITION SUMMARY

The Program Assistant assists the Site Manager in administrative functions on site at a BELL program.

  • Post-site, the PA assists in opening and closing the site, ensures that staff time sheets and scholar attendance are correct and scanned, makes phone calls to parents and assists the Site Manager to ensure overall program excellence.

 


MAJOR DUTIES AND RESPONSIBILITIES

PRE-SITE

  • Work with regional management to implement the enrollment plan for a site or group of sites.
  • Conduct “Street-Team” outreach at community events and other central locations throughout the region as scheduled to recruit families for BELL’s programs.
  • Conduct school-based “Street Team” outreach during school arrival and dismissal times.
  • Attend school-based parent meetings, orientations, open houses, and other events to recruit and enroll scholars.
  • Visit parent homes to complete enrollment materials.
  • Conduct outbound phone banking during the early morning, late afternoon, evening hours and some weekends as scheduled to support scholar recruitment and invite families to attend BELL events.
  • Fulfill direct mail programs as directed by regional enrollment.
  • Always represent BELL in a manner that is professional, responsive, and consistent with the organization’s values.
  • Effectively sell BELL programs to potential families and community partners.
  • Consistently and thoroughly communicate back to the regional enrollment and program teams all information gathered during a school site visit or other enrollment event.
  • Return all completed enrollment paperwork in an organized, neat and timely manner to the regional office.
  • Ensure that all enrollment activities are executed in compliance with BELL, federal, state, and local regulations and policies.
  • Work approximately up to 20 hours per week for up to 10 weeks at the beginning of each program cycle.

POST-SITE under the guidance of the Site Manager.

  • Collect, scan and submit accurate scholar attendance records.
  • Ensure that manual attendance sheets are submitted weekly in compliance with site rules and properly signed.
  • Make calls to parents of absent scholars, daily. Record outcomes.
  • Administer attendance programs, weekly, monthly and year end.
  • Collect staff time sheets and submit to Site manager.
  • Collect changes in scholar data and provide to regional enrollment, weekly.
  • Recognize and reward scholars’ effort and good behavior
  • Assist Site Manager in all administrative functions to ensure the efficient and effective operation of BELL Programs.
  • Assist Site Manager in setting up and closing site
  • Assist Site Manager in distributing supplies and materials for Tutors and Scholars
  • Assist with the distribution of snacks.

Performs other duties as assigned.
Work full-time as non-exempt BELL employee.


MINIMUM JOB REQUIREMENTS

Excellent interpersonal and communication skills; Organized, ability to multi-task high-level of professionalism and customer service experience. High school diploma required, prefer some college.
Basic computer skills and ability to learn new technologies.
Local community experience preferred. Bilingual a big plus. Passion for the BELL mission and working with children. Must be high energy; flexible and reliable; detail-oriented and patient.  
Maturity highly important. Local travel required. Able to lift boxes up to 40 pounds of materials. Must be able to pass a background check. Subject to BELL dress code.
